BOOKING EVENTS
Thoughout the year there are various Booking Events arranged to allow students to book for the following academic year. These Booking Events offer the full allocation of rooms set aside for each student cohort. The details of each event are are published in the Booking Links Space on the home page of this website. Each event is specific to a student cohort. So for example we run a Booking event each year in August after the CAO round 1 offers for the Incoming New CAO Cohort and only student who are relevant to that cohort are eligible to book at that event.

BOOKING FORM
All booking is online and usualy operates on a first come first served basis. The date and time of the booking event will be published in advance in the Booking Links Space so that you have time to prepare and make a space in your diary for the event.
The online process uses a booking form to collect your data, offer the rooms available and facilitate your payment of the booking fee.

All rooms that have been allocated to the specific student cohort for the following academic year will be offered in the first event. Sometimes we run a second event for the same cohort where there may be cancellations available and where there is still time before the commencement of academic activities.
The online form of booking is the only one accepted. Paper, email, personal callers, telephone etc. applications will not be processed.
Please ensure you use a laptop or desktop only for booking on the day as Booking Events are not compatible with a phone or tablet.
How the Booking works on the day of a Booking Event
On the day of booking, the online form opens via a LIVE LINK which you will find in the Booking Links Space on that day. It will go live at a pre published time (usually 10:00 (local time) and sometimes 14:00). For most Booking Events the demand far exceeds the supply and for this reason we use a queueing system. The first group of students to click on the Booking Link and based on a time and date stamp generated by the system, will be given access to the form for booking.
- Not all students who gain access to the booking form are guaranteed a room. Each booker is given a system generated session duration time (usually 15 minutes) to complete their booking. However this is not the only time constraint you will face. You may find that other bookers progress more quickly than you and by the time you get to the section where you choose your room all rooms may be already held by other bookers while they pay their booking fee. Some of those rooms can become available again on the form if a booker does not complete the booking.
- Rooms offered are randonly selected by the system based on the criteria you give it for example "River".
- Those bookers who are not yet in the Booking Form are placed in a Queuing system behind the first group of bookers.
- Once bookers complete their booking in the Booking Form the system then allocates the next student in the queue a place on the booking form provided there are still rooms left to book. If a booking is not completed within the session time the booker will be placed at the back of the queue once the session time expires.
- The chances of booking a room from the Queue are low, especially if you are a higher number.
- Session times do run out for bookers. If you cannot find a room in the randomly offered rooms you need to refresh the selection until you find a suitable room. Selecting a room on the form does not guarantee that you will be able to book it. Even small delays can prompt the system to offer that room again to another booker as in the logic of the system the room is not yet booked until the booking fee is paid. So it is advisable to proceed promptly to the next stage of the booking process and make the booking fee payment.
- Once you enter the payment screen on the booking form your Bank is now making the decisions about payment not Maynooth University Booking System. It is important to know how the banking system operates online payments and keep up to date with changes and obligations placed on bank card holders in relation to security, authorisation of payments, card limits, credit limits etc. In an effort to assist with this we have written an article on the most recent changes in this regard which you are welcome to reference for your general information HERE, however the main source of information will be from your own Bank.
I am in the Queue, how will I know when all the rooms are booked?
Once all the rooms are booked a message will appear on the Queuing screen on your browser to advise all rooms are fully booked.
Important: It may be the case that this message does not appear on your screen if your browser settings do not allow the message to update or if pop up's are blocked on your internet browser. If this is the case or you are unsure whether to remain in the queue, please check on the Residence Office homepage HERE where we will publish all messages. Please do not call the Residence Office during booking as we will be unable to answer.
How will I know if my application was successful?
On completion of the payment of the booking fee, a message will appear to advise that the payment was successful. Where a successful payment is made a transaction number will appear on your screen and a confirmation email will be generated to the email address you put on the booking form. Please note that when the booking is complete the timer may still keep counting down. However once a successful payment has been made and a transaction number received the accommodation is secure. Should you wish to confirm your booking, please log into your self-service accommodation account the login details of which will be in your confirmation email.
Important - It is very important to input your email address correctly in order to receive a confirmation email. To ensure that the confirmation email does not go into spam add residence.office@mu.ie to your contacts.
From time to time vacancies will arise in Student Residences on Campus during the academic year. We do not operate a Waiting List.
This can occur at any time but it arises most frequently during November and December. Once the room is vacated by the current resident and it is cleaned we will offer the room for booking on the Booking Links Space www.maynoothuniversity.ie/accommodation (not visible on a phone). All such vacancies will be offered for the full period of the remainder of the year. We do not offer vacancies as short term lets. All vacancies will be offered exclusively to the Student Cohort that the room was oroginally allocated. So, for exapmle, if a first year student cancels their room that room will be offered to eligible first year students only.
How does booking a Vacant Room Work?
Once identified and prepared for the new occupant the room booking event will be published on the Booking Links Space with a date and time when the Booking Link will go live for booking. All such bookings will be published and offered online in a first come first served event as normal. A reduced booking fee (pro rata to the duration of the Licence being offered) will be paybable on the day of booking along with the first instalment which will be either a) the equivalent of two months rent or b) the rent for the remainder of the semester, depending on the payment option chosen by the booker and the cost of the room type. Once the room is booked and the first instalment is paid the booker will recieve an email with details of how to check-in to their room.
How to complete the Accommodation Booking Form
As part of the online Booking Event, you will be asked to complete a booking form. Paper applications or email forms are not accepted.

- Only eligible students from the Student Cohort specified may apply. Bookings from ineligible students or students from a different cohort will be cancelled.
- In advance, review the Sample Booking Form. or watch the video on how to complete the booking form
- Have your Student number (or CAO Number), your date of birth and your email address to hand.
- Take your time as it is very important that you fill the form accurately. Wrong, missing or inaccurate data can delay or invalidate your application and result in you not being offered a room or your booking being missed or canceled.
- Read information about Rooms, so that you can consider your preference and have a decision made in advance.
- Think about your budget and get information about Rates and costs that are involved
- Make sure that your email inbox can accept an email from residence.office@mu.ie - you may wish to add us to your contacts and make sure there is sufficient space to allow you to receive emails. Email is the primary means by which we will contact you. If your Confirmation of Booking email is sent to the wrong email address you are likely to miss out on scheduled actions and important information.
- Make sure you have good internet conectivity and that you use either a laptop or desktop device ( phone and tablet devices are less reliable for this purpose and should not be used)
You will have made a valid booking if you pay your non refundable booking fee, you are eligible for that room offering and you comply with the booking terms and conditions. To accept your booking you need to complete your address and other details in your online accommodation account, usually, the next day after the booking is made. To retain your room booking you need to fullfil the next steps including a) paying your accommodation fees and any other payments on time and in full b) remain eligible for the room offering and c) continue to comply with the booking terms and conditions. Your booking confirmation email and other emails from the Residence Office will set out these steps again for you.
In some specific cases there are additional requirements for example if you are applying for the Scéim or a Sports Scholarship there is an interview. Students who require a room on campus due to the impact of a disability also have a separate process as do St Patrick's College Students who are asked to fill in an expression of interest form first. Please make sure that you complete all aspects of the process that applies to your specific circumstances.
Booking a Non designated room
Throughout the year, some rooms may become available that are not designated to a specific cohort i.e. First year, continuing etc. If booking one of these rooms it is important to note that they are mixed occupancy and you can expect to live with or near students of any gender, any orientation, any nationality, any age, any course and at any stage of their course.
