Shannon Apartment for Visiting Staff
Campus Residences in general is suited to students. However in order to assist with the accommodation needs of a small number of visiting academics we have set aside a one bedroom self contained apartment in the Campus Residences for visiting or newly arriving academic staf. The Apartment can be licenced on a self catering and single occupancy basis (up to two people sharing) with a
minimum stay of one month (4 weeks) and a maximum stay of 4 months. We are sorry but shorter occupancy periods will not be considered as there are other resources set aside for that type of accommodation on Campus. For shorter stays please refer to
[email protected]. As we have only one Staff Apartment we want to retain the resource for new arrivals and short term visitors as those guests can be challenged initially by the very crowded rented market locally.
Booking: The Department who is hosting the visitor may, in the first place, complete the pre-booking form, setting out the proposed stay and some brief details of the guest and confirming that the guest is visiting staff. We will make arrangements with the guest's host department to confirm the booking. A non refundable booking fee is payble to confirm the booking usually €300. If the Department who is hosting the guest prefers we can communicate directly with their guest at this stage.
Description: The apartment is a small self contained (own entrance from ground/street) apartment with one bedroom containing double bed, wardrobe, chest of drawers, and bedside locker. Kitchen in open plan lounge area containing, oven, hob, fridge-freezer, toaster, kettle and microwave. Basic utensils, cutlery and crockery are also provided. The lounge area has 2 X two seater faux leather couches, coffee table, dining table and chairs and small desk and office chair. The bathroom is not en-suite but is beside the bedroom within the apartment with shower. Central heating is gas and water heating with booster in the hot press in the hall. There are two laundry machines provided (washer and dryer).
The apartment is not suitable for a family and in particular it is not suitable for yonger children - even for short visits.
As the living quarters of the apartment are on the first floor with no lift the occupant must be able to negotiate two short flights of stairs without assistance.
Facilities:
Normally, Reception Services are available Mon to Fri 9am to 7pm for check-in and check-out and other routine enquiries during term time - mid September to end May annually. Occupants who use the apartment during the Summer will not have Reception Services available and should arrange with their hosting Academic Department or Residence [email protected] for check-in. All enquiries during Summer months may be referred to [email protected]. Post should be directed to the Visitor's Academic Department address as there is no postal service for this apartment.
Costs: Typically a 4 weeks stay will cost ~ €1500 (depending on actual nights occupancy) with utilities and services extra (€25 per week or part). A full semester will cost approximately €7600 depending on the dates etc. If the guest does not want to bring their own linen, bedding and towels etc we can provide a Welcome Arrival Service €70 and the bed and bathroom will be made up (hotel style) or alternatively a Bedding Pack €35 (Duvet with cover, fitted sheet, pillow with cover and towels) for use by the guest during their stay. Thereafter the apartment will operate as a self catered unit. A cleaning service can be provided weekly by our cleaning suppliers for which a separate quote can be sought - usually about €50 per week depending on the needs of the guest.
Payment for the apartment will be accepted online only, using your department credit/debit card or paid by the guest with their bank card. Our systems cannot support invoices, cash, bank to bank or cheques as payment. All payments to be made in advance in full by the due dates as set out in the booking confirmation letter which will be generated once the online booking has been made and confirmed by payment of a booking fee - usually €300 (included in the total costs above). The confirmation email will be sent to the host Academic Department or Visitor as indicated.
Licence to Reside: The occupation of the Shannon Apartment by visiting staff will be governed by the Licence to Reside which will be granted to the visitor for signing at check-in and will be available for inspection and printing in advance of their arrival once a confirmed booking has been received. Receipts and financial statements are self-service and are available 24/7 for up to 1 year to the occupant/Host Department online on the accommodation account. The booking confirmation email will provide a URL, Username and Password for the occupant/Host Department for access to the accommodation account.
Conduct of Occupancy: It is expected that the occupant will use the apartment for their own living requirements on a self catering independant living basis. The responsibilities of the occupant are set out in the Licence to Reside and the occupant will respect the living and learning environment of the residence campus. The indoor space of the Apartment (ground floor and upstairs) is a strictly no smoking area including vaping.
The Residence Office on behalf of the University will support the occupant with "front of house" service and maintenance services, and any other enquiries or matters relating to the accommodation as may arise, on a best practice basis.
