The newly established Maynooth University Humanities Institute (formerly An Foras Feasa) fosters individual and collaborative research in the arts and humanities, playing a key role in the intellectual life of the University community. It provides a home for faculty and inter-faculty research projects, centres and clusters; it hosts faculty postgraduates and research fellows; it supports funding and grant applications; it provides targeted digital expertise and facilities across the digital humanities; it supports research innovation and interdisciplinary; it acts as an aggregator for existing and projected research activities, particularly those associated with the faculty of Arts.

The Role

The role of Administrative Officer encompasses the broad range of activities associated with an active University Research Institute. Reporting directly to the Director of the Institute, the successful candidate will lead and manage the Institute’s administration.

This role will involve the provision of high-level administrative service to Institute members and the broader research community. It also involves significant input into the development of new systems, processes and procedures to support the research mission of both University and Institute, particularly the implementation of the Institute’s research incubation schemes and other activities.

The role covers interaction with other Research Institutes and University units, liaising with Researchers and Scholars and servicing research networks.

Principal Duties

Administrative and other duties:

This will include:
• Managing the Institute’s visiting fellow programme;
• Assisting with the preparation of financial reports for the Institute and for hosted research projects;
• Managing the Institute’s facilities to enhance the research experience for postgraduate students, staff and visiting Researchers;
• Assisting the Director with office allocation, common area management and the management of the Institute’s facilities;
• Liaising with service units inside and outside the University;
• Assisting in the management of academic programmes associated with the Institute and liaising with Academic Departments, Registry, Student Records and Examination Units;
• Collaborating in the planning and implementation of the Institute’s Programmes in all of its activities, including conferences, exhibitions, events, network hosting, academic programmes etc;
• Providing administrative support to the Institute Director, supporting centres within the Institute as appropriate and managing the Institute’s administrative team;
• Providing support for the development and running of the Institute and the implementation of its research strategy;
• Liaising with Research Agencies within and outside the University, interacting with Research Bodies and Researchers;
• Developing and maintaining records, spreadsheets and databases at all levels, including HR and Salaries, to produce management information that is accurate, reliable and available for decision making within the Institute;
• Supporting grant applications; administration of Research Grants and their associated funding and reporting requirements;
• Overseeing the organisation of meetings, conferences, consultations and diary management;
• Managing the Institute’s budget planning and allocation in consultation with the Institute Director.
